A busy mid-size litigation law firm is seeking an experienced Litigation Secretary (also known as Legal Secretary, Practice Assistant, or Practice Specialist) for a Temp-To-Hire opportunity in either the San Francisco or Sacramento office. This role is strictly litigation support and not a paralegal position. The ideal candidate is detail-oriented, highly organized, and experienced supporting attorneys in a fast-paced litigation practice.
NOTE: THIS IS A TEMP-TO-HIRE ROLE.
Responsibilities
Document Preparation, Filings & Trial Support
- Prepare legal documents using proper formatting and in accordance with local, state, federal, and appellate court rules
- Handle e-filings and occasional hard-copy filings with courts
- Prepare and timely send correspondence and client documents
- Assist with trial preparation tasks, including document organization and production support
- Keep current with insurance litigation guidelines
Calendaring & Deadline Management
- Calendar all litigation events and deadlines using ProLaw and Microsoft Outlook
- Calculate and track legal deadlines in accordance with statutory local, state, federal, and appellate rules
- Schedule conference rooms, depositions, and client meetings, including arranging technology needs
Case Management & ProLaw Support
- Update matters in ProLaw using correct codes, categories, party names, and filing information
- Save client-related documents and emails into ProLaw accurately and consistently
- Knowledge of ProLaw is a strong plus
File & Administrative Management
- Maintain accurate, up-to-date electronic case files
- Open and close files in compliance with firm policy and legal requirements
- Process invoices and submit to accounting for payment
- Copy, scan, print, fax, and electronically manage documents as needed
Communication & Coordination
- Communicate professionally with clients, vendors, and opposing counsel
- Provide regular status updates to attorneys and confirm task priorities as needed
- Perform additional duties as required based on practice needs and workload demands
Qualifications
- Prior experience as a Litigation Secretary / Practice Assistant / Legal Secretary required
- Strong knowledge of litigation document formatting, filing procedures, and calendaring
- Experience calculating legal deadlines using local, state, federal, and appellate rules
- Familiarity with ProLaw strongly preferred
- Excellent organizational, problem-solving, and attention-to-detail skills
- Strong communication, grammar, proofreading, and time-management abilities
- Proficiency with Microsoft Outlook and document management systems
- Experience with Kofax Power PDF or Adobe Acrobat is a plus
